Event Consulting Options
- Help plan successful choir festivals, camps, tours, retreats, social functions and more.
- Create well-paced schedules and documentation for all types of choir events.
- Concert program assistance – everything from assisting with finding that perfect order for your program to actually creating and providing the paper document in a ready-to-print format.
- Backstage help during concerts – function as ‘stage manager’ to provide support as desired by director.
- Help select new choir uniforms, create needed forms/documents for choir families to order, provide measurement specifications, assist in finding a local seamstress for hemming, etc.
- Create or update your choir handbook or tour handbook. Provide expertise on which rules to include and what to leave out. Phrase everything in a positive, upbeat, readable fashion with easy to follow layout.
- For new choir directors: warm-up ideas, repertoire suggestions, audition ideas, rehearsal planning assistance.
Tour Assistance Options
- Act in the role of ‘tour manager’ for choirs without regular management staff.
- Assist the choir director with selecting and planning your tour.
- Create tour budget or work within provided tour budget.
- Work on your behalf to coordinate details with tour companies / travel providers to ensure a successful tour.
- Create tour itinerary in conjunction with director or other staff.
- Offer suggestions for creating roommate pairings and help complete this process early in the planning process.
- Provide smooth and seamless travel logistics for your choir (getting through security check points together, having plans in place for possible emergency scenarios while on tour, coordinating large group movement from point A to point B).
- Take care of all details relating to itinerary (purchase tickets, secure admissions, fees, tips, make dining arrangements, locate additional activities, etc.)
- Create tour flyers, forms and documents for distribution to choir families.
- Organize / collect medical release forms for participants.
- Research and construct appropriate packing lists specific to your tour destination/needs.
- Collaborate with director to select tour uniforms (formal and casual). Design tour shirts and order forms. Collect and place special uniform orders.
- Create publicity materials for local media/press.
- Produce website material relating to tour.
- Design tour itineraries, handbooks and more.
- Help select, train and oversee chaperones going on tour.
- Lead tour meetings with choristers/families.
- Travel with choir on tour to provide on-site coordination and leadership to free up the director so he/she may focus on the many musical responsibilities.
- Provide ongoing communication during tour about itinerary, changes in plans, etc. throughout the tour with choristers, chaperones, director, staff, and other travelers to ensure a successful tour.
- Provide basic information on places where the group is stopping for accommodation, meals or sightseeing.
- Ensure that the tour is running smoothly for individual members of the choir.
- Host/lead daily chorister and/or chaperone meetings while on tour.
- Respond to questions / offer help with any problems that arise.
- Develop systems for effectively managing chorister accountability during tour.
- Keep your website up to date with photos/journal entries throughout the trip.
- Send daily email stories to pre-selected list of email address of chorister families to keep them current on each day’s events.
Festival Planning Options
- Assist your organization, school or business in creating a dynamic children’s or youth choir festival.
- Help create workable, well-paced schedules and set participant fees, if appropriate.
- Provide input on massed choir repertoire for the event.
- Assist with securing an appropriate festival venue, guest conductors and other musicians.
